VetTrack – Veterinary Market Data and Analytics Platform
VetBizz respects the privacy of personal data subjects and is committed to protecting it in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (General Data Protection Regulation – GDPR), as well as all applicable data protection legislation.
This Privacy Policy explains how personal data is collected, used, stored, and protected in the context of the VetTrack platform. By using the Service, the User acknowledges and accepts the practices described herein. This Policy should be read together with the Terms and Conditions of Use and Subscription available on the platform.
1. Data Controller

1.3 VetTrack is not currently required to appoint a Data Protection Officer (DPO) under Article 37 GDPR. Should this change, this Policy will be updated accordingly.
2. Scope
2.1 This Policy applies to personal data processed by VetBizz through the VetTrack platform, including in connection with:
- Account registration and management;
- Use of the platform and its features;
- Customer support and communications;
- Newsletters and marketing communications;
- Billing, invoicing, and compliance obligations.
2.2 This Policy does not apply to third-party websites or services accessible via links on the platform.
2.3 The Service is not intended for individuals under 18 years of age. If data relating to a minor is identified, it will be deleted without undue delay.
3. Personal Data Processed
3.1 “Personal data” means any information relating to an identified or identifiable natural person.
3.2 VetBizz may process the following categories of personal data:
- Identification data (e.g., name);
- Contact details (e.g., email, phone number, organisation, role);
- Account data (e.g., login credentials, access logs);
- Professional information (e.g., veterinary specialty, employer);
- Billing data (e.g., tax details, address);

- User communications (e.g., messages, support requests, feedback).
3.3 Personal data is processed strictly to the extent necessary for the purposes described, in accordance with the data minimisation principle.
3.4 VetBizz does not intentionally collect special categories of personal data. Where such data is voluntarily provided, it may be deleted or anonymised where feasible.
4. Purposes and Legal Basis
4.1 Personal data is processed for the following purposes and legal bases:

5.1 The User may receive service-related communications necessary for the operation of the platform, including:
- Account activation and access emails;
- Password recovery communications;
- Operational or security notifications.
5.2 These communications form part of the Service and do not require separate consent.
6. Data Retention
6.1 Personal data is retained only for as long as necessary, including:
- For the duration of the User account;
- Up to 10 years for accounting and legal compliance;
- Until withdrawal of consent, where applicable.
6.2 Data will be securely deleted or anonymised after the applicable retention period.
7. Data Sharing
7.1 Personal data may be shared with:
- Service providers (processors), including hosting, email, analytics, and invoicing providers;
- Public authorities, where required by law;
- Partners, where necessary for service delivery and with appropriate safeguards.
7.2 All processors are contractually bound to ensure confidentiality, security, and GDPR compliance.
7.3 Personal data is not sold to third parties.
8. User Data and Processor Role
8.1 The User may input data related to their professional activity (“User Data”).
8.2 Where such data includes personal data of third parties, the User acts as data controller and is solely responsible for compliance with applicable law.
8.3 In such cases, VetTrack acts as a processor and processes data only under the User’s instructions, subject to a Data Processing Agreement (DPA).
8.4 Aggregated and anonymised data may be used to improve the Service.
9. International Transfers
9.1 Personal data is generally processed within the EEA.
9.2 Where transfers outside the EEA occur, appropriate safeguards will be implemented, including:
- European Commission adequacy decisions; or
- Standard Contractual Clauses.

10.1 Users have the right to:
- Access and obtain a copy of their data;
- Rectify inaccurate data;
- Request erasure;
- Restrict processing;
- Object to processing;
- Data portability;

- Lodge a complaint with the CNPD.

14. Governing Law
This Policy is governed by Portuguese law and the GDPR. Competent courts shall be those of VetBizz’s registered office, without prejudice to the right to lodge a complaint with the CNPD.
